Setting up or changing procedures

How to set up new procedures, how to change a procedure.

Manage procedures under Consent Forms β†’ Procedures. Each procedure carries its assigned surgeon, consent risks, item numbers and default recipients, and appears in the consent form dropdown for that surgeon.

To add a procedure:

  1. Click + Add Procedure.
  1. Enter the procedure name.
  1. Add procedure-specific risks. Each risk has a title and an optional description. These appear on page 2 of the consent PDF and are acknowledged by the patient.
  1. Choose how the operation site is recorded (see below).
  1. Assign the surgeon.
  1. Choose Default recipients by hospital (see below).
  1. Add up to six default Medicare item numbers. These fill in automatically on the consent form when the procedure is selected.
  1. Optionally add Default Equipment (equipment type and company). These fill in on new consent forms and can still be changed.
  1. Save.

Edit with the pencil, hide with the toggle, delete with the bin. Procedures in use by registrations or active PROMs schedules can't be disabled or deleted.

Operation sites

Under Site selection, choose one of:

  • Left, right or bilateral β€” the usual choice for joint procedures.
  • Custom operation sites β€” your own list of sites.
  • Enter a named site during consent β€” staff type the site when completing the consent form.
  • No site selection.

The procedure side appears at the top of the patient record.

Default recipients

Under Default recipients by hospital, each hospital is listed separately. For each hospital, choose the Referral Contacts who should receive the signed consent documents when this procedure is done there. You can search by name, and use Clear recipients to remove all contacts for a hospital. Leave a hospital empty if no extra recipients are needed.

Referral Contacts are added under Consent Forms β†’ Contacts, see Contacts. Hospital and clinic notification addresses are managed separately.
