Do patients need to download an app or create an account?
No. Patients complete their registration and PROMs through a secure web link that works on their phone or computer. There's nothing to install and nothing to log into.
How do I add a patient manually?
Click + Add Patient at the top-right of the patient list, complete the required fields, and save. See Adding & editing patients.
How do I archive a patient?
Click the archive icon in the Actions column and confirm.
How do I download a registration or consent form?
Open the patient's record, scroll to Documents, and click Download next to the file.
How do I add a surgeon?
Surgeons are set up by the Panacea AI team. Email support@panacea-ai.com.au with the surgeon's full name and email.
How do I change the questions on the registration or consent form?
You can make most changes yourself. Use Registration Form → Edit Registration Form for the registration form, and Consent Forms → Edit Consent Forms for consent forms. You can turn questions on or off, make them optional or required, change the wording, add your own consent clauses, and set your logo and colour. See Customising the registration form and Customising consent forms (consent form builder). For anything the builders can't do, email support with the form name, a clear description of the change, and any deadline.
How do I change my password?
Log out and use Forgot password? on the login page. Passwords can't be changed from inside OrthoMate.
Are PROMs sent automatically or manually?
Both — turn on auto-send in PROMs Settings, or send/resend manually from PROMs Tracking or the patient record.
How do I change a patient's surgery date, and what happens?
Edit it on the patient record; the patient gets a "surgery date changed" email. The PROMs due dates move to match the new surgery date. Check the PROMs Schedule on the patient record afterwards. See Changing PROMs Schedule.
What if a patient's surgery is cancelled?
Open the patient record and click Cancel surgery at the top. This removes the planned surgery and stops any unfinished PROMs questionnaires. Completed questionnaires, registration details and consent documents are kept. See Cancelling a patient's surgery.
Who receives the completed consent form?
The patient (if they have an email on file) plus the recipients set under Consent Forms → Contacts and each procedure's default recipients.
Can I create more than one consent for a patient?
Yes. Open the patient record and click Add consent form in the Consent section. The new form is pre-filled with the patient details from the first form.
Why can’t I create a WorkCover certificate?
Set your clinic State in Settings first.
